Occupational Health and Safety Policy
STATEMENT OF COMMITMENT
Through this Occupational Health and Safety (OHS) Policy, Hatrix Recruitment is committed to prevention of work-related injury and ill health of its employees, contractors, and visitor within its working environment. It is our policy to ensure that any work conducted within the scope of the business is conducted in compliance with all applicable regulatory requirements and aims to reduce workplace accidents, prevent injuries and illnesses whilst promoting employee well-being. Hatrix Recruitment will work with Clients to ensure this same level of commitment follows through to the workplaces which employees are placed at. We will continuously strive to improve our health and safety performance and ensure that safety remains a fundamental value within Hatrix Recruitment and partnered Clients.
OBJECTIVES
- Prevent work-related accidents, injuries, and illnesses.
- Ensure compliance with relevant occupational health and safety laws, regulations, and standards.
- Promote a culture of safety, where all employees take personal responsibility for their own safety and the safety of others.
- Continuously identify and assess workplace hazards and implement effective control measures to minimise risks.
- Provide comprehensive training and education to empower employees to work safely and make informed decisions regarding their well-being.
- Foster open communication, consultation, and participation of employees in health and safety matters.
- Establish effective incident reporting and investigation procedures to learn from incidents and prevent their recurrence.
- Regularly monitor and evaluate our OHS performance to identify areas for improvement.
COMPLIANCE WITH LEGAL AND OTHER REQUIREMENTS
We are dedicated to complying with all applicable OHS laws, regulations, and standards as set out in the Work Health and Safety Act 2011 and the Work Health and Safety Regulation 2011, and ensuring Clients have the same level of compliance. This includes:
- Staying informed about relevant legal requirements and industry guidelines.
- Integrating compliance into our health and safety policies, procedures, and practices.
- Implementing mechanisms to monitor and ensure ongoing compliance.
- Collaborating with regulatory authorities and seeking external expertise when needed.
ROLES AND RESPONSIBILITIES
Hatrix Recruitment recognize that ensuring a safe work environment is a shared responsibility between Hatrix Recruitment, clients, site managers/supervisors and the employees themselves. The following responsibilities are assigned:
Both Hatrix Recruitment and clients:
- Demonstrate visible leadership and commitment to OHS.
- Provide adequate resources to establish and maintain effective health and safety programs.
- Establish and communicate health and safety policies and procedures.
- Set measurable objectives and targets for health and safety performance.
- Review and continuously improve health and safety programs.
- If there are differences between the Client’s OHS policies and Hatrix Recruitment’s OHS policies, Hatrix Recruitment and the Client must consult with each other in good faith to resolve them to remove any unacceptable risks to employee.
- If the client updates their OHS policies, they must ensure Hatrix Recruitment receives an updated copy in a timely manner.
- Clients must provide and ensure that employees attend an induction/job familiarisation prior to commencing work for the Client. The Client must provide Hatrix Recruitment with records verifying that site-specific and/or job specific inductions have been provided and attended by the employee.
- The Client must allow Hatrix Recruitment to enter the premises to conduct inspections, incident investigations and audits relating to the OHS of employees.
Site Managers and Supervisors:
- Lead by example and enforce compliance with OHS policies and procedures.
- Provide necessary training, information, and resources to enable employees to work safely.
- Conduct regular workplace inspections to identify hazards and ensure corrective actions are taken.
- Investigate incidents, accidents, and near misses promptly and thoroughly.
- Encourage and support employee involvement in health and safety initiatives.
Employees:
- Take responsibility for their own safety and the safety of others.
- Follow all health and safety policies, procedures, and instructions.
- Report hazards, incidents, and near misses promptly to their supervisors.
- Participate in health and safety training and programs.
- Suggest improvements to enhance workplace safety.
HAZARD IDENTIFICATION AND RISK ASSESSMENT
Hatrix Recruitment is committed to identifying workplace hazards and assessing associated risks to implement appropriate control measures. This includes:
- An initial OHS assessment of the worksite/s will be conducted.
- Regular inspections of the workplace to identify hazards and assess risks.
- Involvement of employees in hazard identification and risk assessments.
- Effective communication and documentation of identified hazards and control measures.
- Implementation of engineering controls, administrative controls, and personal protective equipment as necessary.
- Regular review and update of hazard assessments as conditions change.
TRAINING AND AWARENESS
Comprehensive training and awareness programs will be provided by Hatrix Recruitment to ensure employees have the knowledge and skills necessary to work safely. This includes:
- Induction training for new employees on OHS policies, procedures, and emergency response protocols.
- Ongoing training and education to address specific hazards, safe work practices, and the proper use of equipment.
- Clear communication of health and safety information through signs, labels, and regular toolbox talks.
- Encouraging employees to seek clarification and ask questions regarding health and safety concerns.
EMERGENCY PREPAREDNESS
Hatrix Recruitment will work to establish and maintain effective emergency preparedness measures to protect the well-being of employees and others in the event of an emergency. This includes:
- Developing and communicating emergency response plans and procedures.
- Conducting regular drills and exercises to ensure preparedness and familiarity with emergency protocols.
- Maintaining emergency contact information and ensuring it is readily available to all employees.
- Providing appropriate emergency response equipment and resources, such as first aid kits, fire extinguishers, and evacuation routes.
- Designating and training individuals to respond to emergencies and coordinate evacuation procedures.
- Regularly reviewing and updating emergency response plans based on lessons learned and changes in the workplace.
INCIDENT REPORTING AND INVESTIGATION
Clear process for reporting workplace incidents, accidents, near misses, and injuries will be established by Hatrix Recruitment, as well as conducting thorough investigations to determine root causes. This includes:
- Encouraging all employees to report incidents promptly and without fear of reprisal.
- Documenting and investigating all reported incidents to identify underlying causes.
- Implementing corrective actions to prevent similar incidents from recurring.
- Analysing incident data to identify trends and areas for improvement.
- Communicating the results of investigations and sharing lessons learned with all employees.
COMMUNICATION AND CONSULTATION
Hatrix Recruitment recognises that effective communication and consultation are vital for maintaining a safe and healthy work environment. This includes:
- Providing regular updates on health and safety matters through meetings, memos, emails, and other appropriate communication channels.
- Encouraging open dialogue and active participation of employees in health and safety discussions.
- Establishing channels for employees to raise concerns, provide feedback, and suggest improvements.
- Seeking input from employees when developing or revising OHS policies and procedures.
- Ensuring that health and safety information is accessible and understood by all employees, including those with language or literacy barriers.
MONITORING AND PERFORMANCE EVALUATION
Hatrix Recruitment will monitor and evaluate our OHS performance to ensure continuous improvement. This includes:
- Conducting regular inspections and audits to assess compliance with health and safety standards.
- Tracking and analysing incident and injury data to identify patterns and areas for improvement.
- Seeking input from employees regarding their perceptions of workplace safety and areas of concern.
- Reviewing and updating health and safety objectives and targets based on performance indicators.
- Taking corrective actions to address identified deficiencies and improve overall OHS performance.
CONTINUOUS IMPROVEMENT
Hatrix Recruitment are committed to continuously improving our OHS practices. This includes:
- Regularly reviewing and updating OHS policies, procedures, and programs to reflect changes in legislation, industry best practices, and our organization's operations.
- Conducting periodic management reviews to evaluate the effectiveness of health and safety initiatives.
- Encouraging innovation and adopting new technologies or practices to enhance workplace safety.
- Promoting a culture of learning and sharing knowledge related to occupational health and safety.
